Salary: $60,000-$69,000 DOE, prorated at .8 FTE to $48,000 – $55,200

Artist Trust prioritizes work/life balance, and self/community care. We offer 22 days of vacation and holiday time in the first year of employment, including 10 days accrued paid vacation, at least 10 paid holidays (including a paid two-week break at year end), and 2 paid personal floating holidays; Artist Trust also offers accrued sick leave and family leave. Vacation accrual increases after the 1st and 4th year of employment, and four weeks of additional paid sabbatical is offered in the 7th year. This is a 32-hour per week full-time overtime eligible position, salary and paid time off will be prorated at .8 FTE.
The Program Coordinator helps ensure Artist Trust’s grants, workshops, and artist support programs run smoothly and effectively. This position supports program operations through data management, participant communications, logistics coordination, and payment processing. As a key point of contact for artists across Washington State, the Program Coordinator helps connect community members with resources while supporting the day-to-day administration and success of our programs. The Program Coordinator reports to the Program Director.

Data Entry and Artist Support
- Support Artist Trust grants, workshops, and artist support programs through data entry, materials preparation, note-taking, logistics coordination, and event support.
- Track and maintain grant applicant, recipient, and program participant data across Artist Trust’s grantmaking, CRM, and event registration systems.
- Create and maintain program and event registration pages across Artist Trust’s CRM, event management, and website platforms.
- Support other artist survey and data collection methods, data entry, and reporting as needed.
- Prepare and collect payment documentation for program instructors, grant panelists and recipients, and other program partners, and submit materials to the Finance team for processing.
- Maintain and update program-related content across Artist Trust’s website and online resources.
- Serve as the first point of contact for artists, grant applicants, and recipients seeking Artist Trust resources, including answering artist questions, and directing people to appropriate resources.
Program and Event Coordination
- Coordinate logistics for workshops, grant panels, and other artist support programs and community engagement events.
- Support event planning, registration, scheduling, materials preparation, program communications, and day-of implementation.
- Maintain program timelines, documentation, and internal tracking systems.
- Support recruitment, communication, scheduling, and coordination of volunteers for Artist Trust events and programs as needed.
- Help ensure volunteers have the information, resources, and support needed to contribute successfully to Artist Trust programs and events.
Organizational Culture, Racial Equity, and Strategy
- Participate in staff meetings, the Strategic Vision/Stewardship and Racial Equity committees, and annual organizational retreat, and attend community events.
- Attend meetings, organizational learning sessions, and other opportunities to shape our organizational culture and strategic direction.
- Grow and apply the skills and practices needed to create an inclusive organizational culture including clear and kind communication, giving and receiving feedback, mutual accountability, and self-care and boundaries.
- Collaborate with staff in making strategic decisions.
- Support teams as needed.
Values Alignment

- Passionate about supporting artists in communities throughout Washington State; personal or professional connection to Washington State artists and arts communities of any discipline is a plus.
- Values collaboration, open and honest communication, and giving, receiving, and incorporating feedback.
Qualifications
- Demonstrated customer service or community-facing experience, with the ability to respond to inquiries clearly and with care.
- Confidence using nonprofit databases, CRM platforms, and data management systems. Experience learning and navigating new technology tools is highly valued. Familiarity with platforms such as Little Green Light, Salesforce, Eventbrite, DocuSign, Submittable, SurveyMonkey, Zapier, or similar systems is a plus.
- Experience using Microsoft programs (SharePoint, Word, Excel, Outlook, PowerPoint, Teams, etc.).
- Keen attention to detail and high level of concentration to accurately comprehend, identify, and capture key data points.
- Ability to handle confidential and sensitive information with discretion and care.
- Experience coordinating events, volunteers, or community-facing programs is a plus.
- Strong communication skills and the ability to be kind and welcoming while representing your area of work to Artist Trust’s community, staff, and Board.
- Ability to exercise discretion and independent judgement in managing daily workload and remain accountable to achieving goals and completing tasks.
