AIA Seattle is one of the largest architectural associations in the US, with an inspiring community of members who are passionate and engaged in our changing city. AIA Seattle is seeking a Membership & Development Coordinator to be the administrative backbone of our 501(c)(6) professional membership organization, AIA, and our 501(c)(3) strategic partner, Design in Public (DiP). The successful candidate will be collaborative, detail oriented, comfortable managing and organizing data, and able to efficiently juggle multiple projects and priorities.

Position Summary

Location: Remote until further notice (requirement of one day per week in our office location at the Center for Architecture & Design– strict safety guidelines adhered to safeguarding your health)
Hours: This is an hourly position, currently working 32 hours remotely and 8 in the office
Deadline: January 29, 2021
Compensation: $48,900 FTE

Goals of Position
• Support membership growth by coordinating renewal and recruitment processes, managing member data, and managing online member benefits such as our job board
• Support fundraising by coordinating sponsorship efforts for AIA Seattle and Design in Public, managing sponsorship and donor data, and assisting with new development initiatives and grants
• Support basic accounting functions including accounts receivable, collaboration with financial management team
• Support executive staff with correspondence, schedule management, and administrative support

Essential Responsibilities

Membership (30%)
• Support the Membership & Volunteer Manager on membership growth and retention
• Manage member renewal and recruitment campaigns
• Submit annual local dues to AIA national
• Coordinate Firm Network and allied renewals
• Process new, renewing, reinstating, transferring, hardship requests, and upgrading member applications
• Manage online job board, Find an Architect, mailing list rentals, and other miscellaneous website/membership benefit inquiries
• Monitor membership progress and trends, scheduling and pulling reports as requested
• Manage the AIA Continuing Education Submission (CES) process, event registration and auditing, registrant communications, and post-event Certificates of Completion for committee events
• Point of contact for questions about membership
• Manage the info@ email

Fundraising (30%)
• Support Associate Director’s work on fundraising and sponsorship campaigns and systems
• Coordinate sponsorship campaigns for AIA Seattle and Design in Public
• Send receipts and acknowledgements
• Maintain sponsorship and donor records
• Maintain sponsorship recognition (online and print)
• Monitor fundraising trends, scheduling and pulling reports as requested
• Support donor records, outreach and acknowledgement for annual fundraising event
• Coordinate annual fundraising campaign for travel scholarship
• Organize grant materials and manage grant reporting

Accounting (15%)
• Receiving and depositing check payments
• Preparing revenue reports, maintaining financial policies, procedures, and records to support financial management team
• Manage insurance requests and renewals
• Reconcile and replenish petty cash
• Complete basic accounts receivable data entry

Administration (15%)
• Manage email list software
• Collect and process mail
• Support executive staff in standard administrative tasks
• Assist with schedule management and meeting scheduling
• Prepare and send correspondence
• Pull reports and assist with mailings for communications team
• Filing

Member and Sponsor Appreciation (10%)
• Personal outreach to members and sponsors
• Develop and manage Members-only opportunities, such as: Happy Hours; Lunch and Learns; and quarterly focus groups
• Schedule and coordinate staff firm visits

Job Qualifications
• Bachelor’s degree in related field
• Strong interest in database management and systems thinking
• Proficiency in Microsoft Office 365
• Familiarity with CRM’s (Little Green Light), email list software (Constant Contact), and basic HTML a plus
