The Mouthwater Festival is seeking a Travel Coordinator to support the execution of our Fall 2024 Festival. The Mouthwater Festival will take place in Seattle with an artist incubator in late September 2024 and free or ticketed events at multiple venues from October 1-13, 2024. Co-founded by Saira Barbaric, NEVE, and Vanessa Hernández Cruz, Mouthwater Festival will span Seattle, showcasing performance art, theater, dance, and music by disabled creatives. Disabled artists from all over the country will gather in town to share their work, develop their practice, and foster cross-disability solidarity and creativity. The festival’s values are anti-capitalist, anti-fascist, pro-black, disability justice-informed, afrofuturist, sex educated, and practical.

Job Title: Travel Coordination Assistant
Location: Seattle Washington
Position Type: Part-Time

Position Summary:
The Travel Coordination Assistant will be responsible for assisting artists with planning to Seattle, organizing local travel, and managing the travel arrangements for participants in the festival. They will help ensure that the travel arrangements are accessible and will be responsible for troubleshooting any emergent issues for the travelers. This person will report to the festival production team and will interface with Velocity Dance (the festival fiscal sponsor).

Essential Job Functions:

Travel Research
Conducting research on destinations, activities, and accommodations to ensure that they align with the traveler’s preferences and requirements.
Access Coordination
Handling special requests such as dietary restrictions, accessibility needs, or specific preferences. Ensuring that these requests are communicated to service providers.

Communication
Regularly communicate with clients to provide updates, address concerns, and gather feedback. Being available to assist during the travel period.
Itinerary Planning
Creating detailed travel itineraries that include information about flights, access needs, transportation, and activities.

Booking Reservations
Making reservations for flights, hotels, and other travel-related services. This includes researching options, comparing prices, and securing the best deals.

Logistical Coordination
Coordinating transportation to and from airports, hotels, and other destinations. This may involve arranging ground transportation or providing information on public transportation options.
Coordinate transportation for local festival artists/attendees with attention to accessible transportation

Expense Management
Managing travel budgets and expenses. Keeping track of costs and providing updates to the festival production team.
Problem Resolution
Resolving any issues or challenges that may arise during the travel period. This could involve dealing with flight delays, lost luggage, access issues, or other unexpected situations.
Providing support in case of travel disruptions, emergencies, or unforeseen circumstances. This could include rebooking flights, finding alternative accommodations, or arranging for medical assistance.

Qualifications and Requirements:
Previous experience in a similar role, especially in travel planning, coordination, or customer service
Good organizational skills
Attention to detail
Knowledge of travel industry trends and regulation
Flexibility
Must be vaccinated against COVID, unless you cannot due to access needs

Pay: $250/month stipend; 5-15hrs month
