AIA Seattle is seeking a Programs Coordinator to support our educational programs and events, our signature design awards, and the Seattle Design Festival (SDF). The ideal candidate will be collaborative, detail oriented, and able to efficiently juggle multiple projects and priorities.

Position Summary
Location: Remote until further notice due to COVID parameters – otherwise, Center for Architecture & Design
Hours: This is an hourly position working 40 hours per week
Deadline: June 7, 2021
Compensation: $48,000 – $50,000 FTE

Goals of Position
• Support the Programs Manager, Senior Programs Manager, and Member Engagement Manager in producing well-executed educational programs, awards ceremonies, and networking events
• Successfully coordinate the production of the Seattle Design Festival and associated events
• Collaborate with the Programs Team to maximize impact across programming

Essential Responsibilities

Education Program Coordination (70%)
• Coordinate vendor needs; book venues and catering
• Track speaker contracts and presentation files, schedule prep calls, and make travel arrangements
• Support the AIA Continuing Education Submission (CES) process, event registration, registrant communications, and post-event Certificates of Completion
• Support program communications and maintain up-to-date information on event pages
• Organize day-of event production for in-person and virtual programs
• Support the extension of continuing education resources beyond day-of programming
• Support the development of long-distance continuing education opportunities for remote members

Design Awards Coordination (15%)
• Coordinate call for submissions, including submittal communications
• Track jury agreements and materials, make travel arrangements, and support jury deliberations
• Support logistics for event volunteers, rental partners, and vendors
• Coordinate ticket sales and attendee communications
• Support program communications and maintain up-to-date information on event pages
• Organize day-of live event coordination and production, including front-of house operations

Seattle Design Festival Coordination (15%)
• Coordinate call for proposals; track partner materials and contracts
• Support Festival committee in producing networking, informational, and promotional events
• Provide excellent customer service to Festival partners to ensure they have the information they need to promote and produce their events successfully
• Support event permitting and rental of sanitation, portable bathrooms, security and banquet permits
• Organize day-of coordination and production, including install and de-install of the SDF pavilion, signage, and banners in collaboration with the communications team and Festival volunteers
• Ensure all necessary signage, supplies, tools and print material are at SDF produced events
• Coordinate 30+ volunteers for all day-of SDF operations

Job Qualifications
• Demonstrated coordination experience, preferably with events, programs, and/or projects
• Proficiency in Microsoft Office 365, and familiarity with email list software (Constant Contact), virtual platforms (Zoom), and basic HTML a plus

Compensation and Benefits
AIA Seattle is committed to progressive and equitable compensation standards, including full-time employment as the primary basis of our workforce, and pay scale equity. The salary range for this position is $48,000 – $50,000 FTE. We recently completed our JUST certification, and commission a bi-annual compensation study to benchmark against other area non-profits.
